Scope and Contents

The Office of Public Information & Government Relations (PIGR) is the department on campus responsible for all college promotional and marketing materials. It is responsible for creating the academic catalogs, course guides and schedules, and other college publications. Materials created by the PIGR office include both print and digital materials. They are also responsible for the operation of the college’s website, social media presence and acts as the gatekeeper for releasing information to the media. The current director of the PIGR office is Beth Kirkpatrick. As of July 1, 2019, the PIGR office has been renamed “Public Relations and Marketing.” Scope and Content: This collection includes a large number of black and white, and color photographs, VHS and DVCam recordings, newspaper clippings, brochures, publications, course schedules and catalogs, and press releases. Also found in this collection are meeting minutes and committee papers. Materials range from 1946-present. This collection will be arranged into four main series: Publications, Programming, Administrative, and Audio/Visual. The majority of this arrangement is proposed by the processing archivist since most of the collection was transferred with no discernable organization. Any previous amounts of arrangement will be maintained. The first series, Publications, will be divided into two sub-series: Campus Publications, and Press Publications. This series contains all publications created by HCC or regarding HCC. Materials include: newspapers and clippings, campus directories, catalogs, course schedules, press releases, maps, books, and interview transcripts. Materials within each sub-series will be arranged topically and chronologically. The second series, Programming, will have three sub-series: Campus Programs/Events, Commencement, and Celebratory Materials. Items in this collection include program information pages, brochures, certificates, commencement and graduation materials, and anniversary program materials. These items will be arranged topically and chronologically within each sub-series. The third series, Administrative, includes two sub-series: Committees, and Correspondence. Some of the items found in this series can also be found in other collections in the archives, but due to the need to preserve this collection’s original order, they will not be moved to other collections. The Committees sub-series includes meeting minutes, by-laws, constitutions and records from campus committees and the Faculty Senate. The second sub-series, Correspondence, includes letters and general correspondence between faculty, staff and the President of the college. Items in this series will be arranged topically and chronologically. The final series, Audio/Visual, will have two sub-series: Visual Materials, and Audio Materials. Items in this collection include: black and white photographs, color photographs, color slides, VHS tapes, DV Cam Tapes, cassette tapes, and reel-to-reel audio recordings. Subjects from these materials include: commencement and graduation ceremonies; guest and faculty speakers; HCC students, staff, and faculty; and campus events. They will be arranged by format and chronologically.

Conditions Governing Use

Some records may contain sensitive information regarding HCC employees. Access to these files is restricted for fifty years from the latest date of the materials in those files. Access to student records is restricted for seventy-five years from the latest date of the records in those files. Restrictions are noted at the file level.

Provenance

The collection was transferred to the archives from the Office of Public Information and Government Relations at Hagerstown Community College, however no record of this transfer was kept. Therefore the original creator(s) as well as the date and transfer approval are unknown.

Some materials in this collection, such as the Faculty Senate Minutes, faculty handbooks, and accreditation reports, are housed as a part of this collection because of the need to retain original order. However, other documents related to these can be found in other archival collections.

Some items in this collection are unavailable for researcher use because the archives does not have the equipment necessary to play them. These include: reel-to-reel sound recordings, and DVCams. These materials will be available after digitization of the originals or playback equipment is acquired.
